We are a fast-growing and dynamic company in the tourism sector in Angola, looking for an Administrative Coordinator to join our team. We are seeking a highly organized and motivated individual who can ensure the smooth running of administrative operations and support various tasks, including providing support to the sales team and customer service. The ideal candidate will have experience in managing administrative tasks, coordinating tours, customer service, creating basic graphic content, and managing reservations.
Main Responsibilities:
•Supervise general office operations, including managing administrative resources, supplies, and equipment maintenance.
•Organize and maintain company documentation, filing systems, and databases.
•Coordinate schedules, organize meetings, and manage travel logistics for the team and executives.
•Serve as the point of contact for internal and external communications, including calls, emails, and correspondence.
•Assist in the preparation of presentations, reports, and other administrative documents.
•Coordinate tours and supervise execution, ensuring details align with customer needs and that services provided are of high quality.
•Manage reservations, ensuring all requests are handled efficiently and accurately, while maintaining continuous contact with clients to confirm details and ensure satisfaction.
•Maintain contact with clients, providing relevant information and support throughout the booking process and after tours.
•Create and edit basic graphic content using tools like Canva and Visme for marketing materials and internal communication.
•Perform data analysis and KPI monitoring to assess administrative performance and assist in decision-making.
•Assist in budget preparation, monitor office expenses, and maintain accurate financial records.
Requirements:
•Bachelor’s degree in Administration, Management, Tourism, or related fields.
•Proven experience in administrative functions and customer service.
•Excellent organizational and multitasking skills, with attention to detail.
•Strong communication skills, both written and verbal.
•Proficiency in Microsoft Office (Excel, PowerPoint, Word) and other administrative tools (experience with CRM or project management software is a plus).
•Experience in creating and editing basic graphic content using tools like Canva and Visme.
•Ability to work independently and proactively solve problems.
•Experience in coordinating tours and managing reservations is highly valued.
•Availability to work extra hours, including weekends, if necessary.
Languages:
•Fluency in Portuguese and English (mandatory).
•Knowledge of another language is a plus.
